Report Writing: Format and Language

Internal Report

Reports aim simply to inform, update or increase awareness in a selected audience of a certain matter, event or issue. Sometimes, they aim to obtain approval from their audience by putting forward information and supporting facts. The tone of voice is therefore persuasive, in addition to being formal and restrained.

You are the President of the Student Council. A group of 40 Secondary 3 student delegates, from Bangkok Girls’ School, are on an exchange visit to your school. You have been tasked with planning a 1-day itinerary for the exchange students to Sentosa Island.

The purpose of the tour is for the exchange students to spend a day in Sentosa to:
1. Learn about the history of Singapore
2. Form bonds with the local students
3. Engage in fun activities
Write a proposal letter to the Bangkok Girls’ School, including the following:
·       Propose 2 places of attraction during the visit
·       Explain how these 2 places of attraction fulfill the purpose of the visit
·       Request for feedback from Bangkok Girls’ School

Write your letter in clear, accurate English. Use a polite but persuasive tone to promote the 2 attractions to the President of the Student Council of Bangkok Girls’ School.

You should use your own words as much as possible.
